FACILITATION SERVICES | STAKEHOLDER ENGAGEMENT STRATEGY

Designing and facilitating a three day forum to assist staff with the transition to a new regulatory model.

Challenge

The LKB Agency (LKB) was engaged by a NSW Government department* to facilitate a three day forum with staff members on the introduction of a new regulatory model. The new model brought previously separate regulatory functions together under a single entity – a transition that represented a significant shift toward a future fit approach that is risk based, outcomes focused and supported by a clearer identity and accountability.

Lucy Beytagh needed to design a forum that fostered genuine collaboration and engagement among staff from different teams, while also creating a supportive environment for open discussion. The objective was to ensure staff felt comfortable raising the challenges they were facing as a result of the transition, and to facilitate constructive dialogue with the senior leadership team.

Strategy

Lucy developed a facilitation strategy that was based on transparency and meaningful participation. This included designing a structured agenda that balanced information sharing, Q&A sessions, and keynote presentations with interactive activities.

This approach ensured staff had multiple ways to contribute to the discussion – individually, in small groups and as a whole group.

Activities were sequenced to create understanding around decision making, surface challenges and guide staff towards co-creating shared priorities for the new regulatory body.

Lucy also worked closely with the senior leaders to prepare them for open dialogue with staff, helping them frame their communication with clarity and consideration for each impacted team.

Results

LKB successfully delivered a forum that was constructive, inclusive and future focused while acknowledging the real impacts of organisational change. LKB achieved:

100% positive feedback on facilitated activities.

177 questions received via Slido with 92% being positive or neutral sentiment.
